Position Description

The Operations Coordinator will support the President, the Executive Vice President, and the Leadership Team with the day to day needs of the company. This is a dynamic role, perfect for a high-performing, detail oriented, and motivated individual.

Tasks will change from day to day, hour by hour and will include (but not limited to) - meeting/call scheduling, administration, booking appointments/reservations, research, planning events, submitting expenses, onboarding activities, coordinating/ordering catering, and everything in between. Things move fast at Knovo, and you’ll be quickly immersed in all aspects of the company operations.

Key Tasks and Responsibilities:

  • Assist in the management and organization of Executive calendars by scheduling appointments, meetings, engagements, and daily activities
  • Prepare status reports and send them to the appropriate stakeholder(s) – sample reports include (but not limited to) project status, issues, upcoming items, admin, timesheet tracking, financial reporting
  • Create a digital document filing system with appropriate permissions for the team to access necessary documents including reports, templates, brand standards, compliance items
  • Prepare agendas, attend meetings, and transcribe correspondence where necessary
  • Prepare Executive expense reports
  • Support with onboarding new employees by creating the new employee checklist of activities and following through to ensure all activities and requirements are delivered
  • Support with creating and keeping the Knovo employee handbook and all policies and procedures current
  • Provide tech support for the team and engage technical resources as required to solve issues that arise
  • Conduct ad-hoc industry research when necessary and present findings in a clear format
  • Provide support with all social media postings and promotional activities
  • Manage and coordinate travel including researching flight and hotel options, booking travel and follow ups
  • Plan and manage events and onsite meetings, including all organization and logistics of the event ahead of time, management during the event, and ensuring clean-up of the event
  • Creating presentations and other communications as required
  • General trouble shooting for the team

You will excel in this role if you:

  • Have 1-2 years’ experience supporting an executive team
  • Are proactive and love problem solving. You have a can-do, no ego attitude - you don’t think there is any task that is beneath you (no matter how small and unglamorous)
  • Have proven experience maintaining the highest level of confidentiality
  • Have experience troubleshooting technical problems while navigating ambiguous and time sensitive situations
  • Possess a high sense of urgency and can stay calm under pressure
  • Have experience prioritizing a heavy workload with superior analytical, organization and project management skills.
  • Are detail oriented, nothing slips on your watch
  • Are self-motivated and can work with minimal supervision
  • Are hungry to learn and always seeking to improve
  • Possess excellent communication and interpersonal skills
  • Have strong writing skills
  • Have previous experience with event planning and research
