The Role

This is not a traditional administrative role.

As Executive Assistant & Office Manager, you are the backbone of Knovo’s Hollywood Florida office and a trusted partner to the leadership team. You ensure executives are supported, priorities stay on track, and the physical office operates seamlessly.

You are the person who runs the space, anticipating needs, resolving issues before they escalate, and creating an environment where the team can do their best work. This role requires strong judgment, ownership, adaptability, and a calm, solutions-oriented mindset.

Key Tasks and Responsibilities:

Executive Support

  • Provide administrative support to the President and EVP
  • Manage complex, fluid calendars, meetings, and calls
  • Prepare agendas, correspondence, briefing notes, and meeting summaries
  • Complete executive expense reports accurately and efficiently

Office Management & Workplace Experience

  • Own the day-to-day operation of Knovo’s Hollywood Florida office to ensure it runs smoothly and professionally
  • Manage incoming and outgoing mail and deliveries, ensuring items are distributed and tracked appropriately
  • Replenish office supplies, kitchen supplies, and other materials to keep the office fully stocked and functional
  • Coordinate vendors and service providers as needed
  • Ensure meeting rooms, shared spaces, and work areas are organized, clean, and ready for use
  • Identify and resolve on-site issues quickly, escalating to appropriate support or vendors, when necessary

Technology & On-Site Support

  • Serve as first-line support for day-to-day tech issues in the office (A/V, Wi-Fi, printers, screens, laptops, meeting room setup)
  • Coordinate with external IT or technical resources to resolve more complex issues
  • Support new hire setup including equipment, access, and workspace readiness

Travel, Events & Logistics Support

  • Coordinate executive and team travel including flights, hotels, itineraries, and follow-ups
  • Plan and manage internal meetings, off-sites, and events, handling logistics, catering, vendors, and on-site execution
  • Ensure meetings and events are well-organized, on time, and professionally executed

Projects, Communication & Support

  • Create presentations, documents, and internal communications as needed
  • Conduct ad-hoc research and present findings clearly and concisely
  • Support light social media posting and promotional activities when required
  • Troubleshoot day-to-day challenges and proactively improve how the office and other workflows function

Qualifications

  • 2+ years of experience as an Executive Assistant, Office Manager, or similar administrative role
  • Proven experience supporting senior leaders in a variety of capacities
  • Strong organizational, time-management, and multitasking skills
  • Comfort troubleshooting on-site technology and coordinating with vendors
  • Excellent written and interpersonal communication skills
  • Ability to work independently with minimal supervision

Location:

This role is in-office, 5 days per week, based in our Hollywood, Florida location.
